Job Responsibilities:
- Supervise calendar management, gatekeeping, and meeting logistics for our executive team with a high degree of precision.
- Cooperate with recruiting to coordinate interview events involving members of C-suite and manage relevant communications with candidates, including meeting confirmations, reschedule requests, and “thank you” notes.
- Maintain reliable correspondence and formal communications with external and internal stakeholders on behalf of the AspireIQ leadership team.
- Coordinate complex travel arrangements; prepare detailed travel itineraries, coordinate commercial flights, dining, and ground transportation; prepare and process required documentation for international travel.
- Process expense reports; reconcile and track monthly credit card statements and expenditures in a timely manner.
- Work as the main point of contact for guests meeting with the executive team, being on-hand to receive visitors to our SF office and walk them out after meetings have concluded.
- Administer programs, special projects, and/or processes as assigned.
Job Requirements:
- BA/BS degree or higher.
- Minimum 1- years of demonstrated experience in an administrative function.
- Effective experience working at a fast-growing startup.
- A high degree of professionalism and dependability and a proven ability to handle confidential information and work in a fast-paced environment.
- Strong written and verbal communication skills; someone who can manage communications at all levels of the organization with a focus on detail and accuracy.
- A solid collaborator with effective interpersonal skills; capable of working with personnel cross-functionally.
- A skilled multi-tasker who can manage competing priorities without missing key deadlines or letting tasks fall through the cracks.
